The schedule is the heart of a driving school. Every lesson needs three things free at the same time: an instructor, a car and a student. Get one wrong and someone is standing on a curb waiting. Drivloop’s scheduling is built around exactly that problem.
Instructor hours and days off
For each instructor you set the hours they work on each day of the week, for example Monday to Friday 3 pm to 8 pm and Saturday 9 am to 3 pm. Add a day off for a dentist appointment or a vacation day, and that day disappears from the booking page for that instructor. You don’t have to block anything by hand.
No double-booking, for people or cars
When a lesson is booked, Drivloop checks that the instructor doesn’t already have a lesson at that time and that the car isn’t already out. If there is a clash, the booking is stopped with a clear message, whether you are booking from the office or a student is booking online. If someone else takes a time while a student is still choosing, the student is told it was just taken and asked to pick another.
Each instructor can have their usual car. If that car is already booked, Drivloop picks another free car for the lesson. If every car is out, the time isn’t offered.
Your lesson rules, set once
- Lesson length: choose how long a standard lesson is, and open times are cut to that length.
- Minimum notice: how many hours ahead a lesson must be booked (for example 12 hours), so nobody books a lesson for 20 minutes from now.
- How far ahead: how many days into the future students can book (for example 3 weeks).
- Free cancel window: how many hours before a lesson students can still cancel or move it for free.
- Late cancels: decide whether a late cancel loses the lesson or gets it back.
A calendar you can actually read
The owner calendar shows the week by instructor or by car, color-coded, on a computer or a phone. Book, move or cancel a lesson in a couple of taps. When you move a lesson, the student gets an email with the new time. Lessons show in your school’s own time zone.
Pickups and meeting places
Some schools pick students up at home, some meet at the office or a test route, and some do both. You can choose pickup, meeting at one of your locations, or let the student choose. The pickup address shows on the instructor’s screen with one tap to get directions.
If you teach too
Many owners still teach. Turn on “I also teach lessons” and you appear on the calendar like any instructor, with your own hours, while keeping the full owner view of the business.
What instructors and students see
Instructors see their own day and week, with each student, pickup address and car. Students see open times, book inside your rules, and can cancel or move lessons only within your free cancel window. Questions
Can two lessons be booked for the same instructor at once?
No. Drivloop checks for a clash before every booking and stops it if the instructor already has a lesson at that time.
Does Drivloop track cars too?
Yes. Add your cars and Drivloop won’t book the same car for two lessons at the same time. Each instructor can have a usual car.
Can students book lessons themselves?
Yes, from your booking page. They only see open times inside your rules for notice, how far ahead they can book, and instructor hours.
Can I set a cancellation policy?
Yes. Choose how many hours before a lesson students can cancel or move for free, and whether late cancels lose the lesson.
